Overall Function
Under the direction of the AVP, US Region Operations, the Coordinator providesvital administrative support by developing and implementing efficient protocols for managing and tracking projects, expenses, invoices, and contract management, scheduling, and meeting and event planning for projects designed to help advance the goals ofEDF’sPolitical Affairs Team. TheCoordinatorproactively solves problems and independently troubleshoots and addresses issues that arise andpossessesstrong communicationskills both oral and written. This is a challenging role requiring advanced organizational and time management skills, great attention todetailand the ability to respond to quickly shifting priorities. The successful candidate will have experience in managing high-level relationships, handling sensitive and confidential information, and executing multiple, complex projects simultaneously.
Key Responsibilities:
Administer contracts for consultants, includingassistancein writing and processing contracts and grants and working with staff and consultants to ensure the fulfillment of contractual obligations andtimelysubmission of invoices.
Work with team management, staff, and mission finance to helpmaintainand monitor budget.
Apply excellent organizational, communication, and planning skills by responding to requests for information, helping to coordinate activities and projects for theteamand preparing correspondence and reports as needed.
Maintain calendars and provide travel arrangements for program leadership.
Conduct the administrative processes of the team, which include expense reports, travel arrangement, calendar management, budgetmaintenanceand invoice processing.
Follow through with finance staff to ensure payments are made and consultants appraised.
Contribute to fundraising and stewardshipobjectives, including tracking and monitoring results and returns, preparation and distribution of reports and other written material.
Manage other administrative tasks associated with staff, consultants, and interns, includinglogistics, office needs, onboarding, and telecommunications.
Assistteam staff and other colleagues to better communicate andcoordinate onjoint projects.
Assistin planning and execution of eventlogistics.
Participate in advancing EDF Organization, Effectiveness and Culture goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF values.
All other relevant duties and responsibilities as assigned.
Carry out independent problem-solving and decision-making; conveying decisions to stakeholdersin a timely manner.
Qualifications:
Associate degree or equivalent in a relevant field with at least 3 years of relevant experience. ABachelor’sdegree or equivalent may substitute for up to 2 years of relevant experience.
Creativity, attention to detail, and the ability to multi-task and get work done under pressure.
Must have the ability to work in a highly collaborative and matrixed environment and the ability to build andmaintainrelationships across the organization.
Excellent project support, contract management, and administration skills.
Strong verbal and written communication skills.
Ability and willingness to work asa strong teamplayer and independently as a self-starter.
Exceptional personal organization, attention to detail, and abilityto manage and prioritize diverse, simultaneous tasks.
Experience with budgeting, accountingand/or bookkeepinga plus.
Abilityto problemsolve and overcome roadblocks with persistenceand professionalism, while buildingstakeholder’strust.
Proficiencyin the use of PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint); experience with Emburseand/orNetSuitea bonus.
Interest in environmental advocacy is strongly preferred.
Demonstrates self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders acrossallcultures and backgrounds.
