Quality Assurance Specialist

Key Responsibilities: Quality control & testing Coordinate validation and verification testing; record and report results. Manage product positive release (raw materials, intermediates, finished goods) with supply chain, vendors, and production sites; generate COAs. Serve as primary liaison with third-party laboratories — obtain quotes, set up testing profiles, onboard new labs, and manage turnaround times. Review and approve vendor COAs and specifications for raw material release. Implement and maintain sample retention processes with suppliers, production sites, and third-party storage partners. Maintain third party manufacturing documentation for all intermediate and finished products. Customer documentation Write, control, and update QA documents and statements covering products and manufacturing sites. Manage all customer documentation requests via Trace Gains and other channels, ensuring timely and high-quality responses. Onboard new customers on Trace Gains; maintain accurate contact database. Support export documentation creation and submission. Vendor & supplier management Collect and track qualification documents from distributors, warehouses, and co-manufacturers via Trace Gains. Maintain Trace Gains database — existing suppliers/materials/products, archive obsolete records, and flag non-compliant items to the QA team. QA systems & compliance Support new and existing product implementation post-R&D, including internal and external documentation. Participate in food safety plan implementation by maintaining records, supporting verifications activities and updating documentation. Create and maintain SOPs and work instructions related to function Document and, where appropriate, investigate customer complaints, CAPAs, OOS events, deviations, and change controls. As applicable record data for KPI reports. Lead traceability exercises with contract manufacturers and suppliers Serve as system administrator and trainer for Trace Gains, external laboratories, and related platforms. Education and experience requirements:  B.Sc. in Food Science, Food Quality, Chemistry, Biology, Pharmacology, or related field.3+ years of QA/QC experience in nutraceuticals, dietary supplements, functional foods, or a related industry. Familiarity with regulatory compliance for food or dietary ingredients, contract manufacturing and analytical lab experience a plus. Proficient in Microsoft 365 (Word, Excel, Power Point, Outlook) and Adobe. Strong analytical, communication, and problem-solving skills. Location and Travel: This role is remote. Traveling up to 20%.
