Wakefield Asset Management is a boutique Registered Investment Advisor firm located in the Denver Tech Center. We provide wealth management services and separate account management to individual and institutional investors. We pride ourselves on providing exemplary service to our clients. We are seeking a polished, detail-oriented, and highly organized Accounting & Administration Specialist to support our client service, accounting, and investment operations functions. This role is ideal for someone who enjoys working directly with clients, managing financial details, coordinating multiple moving pieces, and supporting a high-touch client experience. The Accounting & Administration Specialist to support our client service, accounting, will oversee client service requests, account administration, financial paperwork, client reporting, billing and accounting support, and coordination with custodians and other outside professionals. This person will work closely with internal team members to ensure client requests are handled accurately, efficiently, and with the highest level of professionalism and confidentiality. This is a heavily client-facing role that requires strong communication skills, excellent attention to detail, discretion, follow-through, and the ability to manage multiple priorities in a fast-paced professional office environment. Position Responsibilities Serve as a professional and responsive point of contact for client questions, requests, and ongoing service needs. Communicate with clients, custodians, accountants, attorneys, banks, and other outside professionals in a clear and service-oriented manner. Prepare, review, and submit client paperwork, forms, account documents, and custodian requests with a high degree of accuracy. Assist with new account openings, account maintenance, beneficiary updates, money movement requests, and client information updates. Support financial advisors and internal team members with client meeting preparation, follow-up items, reports, and client materials. Maintain accurate client records, workflows, and documentation within internal systems, CRM databases, and electronic filing systems. Assist with client billing, payments, deposits, transfers, and other accounting or financial operations tasks. Help track client cash flow, expenses, required distributions, tax-related payments, and other recurring financial items. Coordinate with third parties, including custodians, banks, accountants, attorneys, insurance professionals, and other client advisors. Assist with gathering tax documents, preparing client information for outside accountants, and tracking tax-related deadlines and payments. Support internal reporting, spreadsheet preparation, data entry, reconciliations, and review of client or account information. Assist with special projects such as beneficiary reviews, required distributions, client reporting, account transitions, private investments, or other operational initiatives. Help ensure client requests and internal tasks are tracked, followed up on, and completed in a timely manner. Handle confidential client, financial, and personal information with discretion and professionalism. Adhere to firm procedures, industry requirements, and fiduciary responsibilities.
Qualifications:
At least 2 years of experience in a wealth management firm, custodian or broker dealer in accounting, investment operations, or a related professional services environment preferred. Public accounting experience is highly valued, particularly in financial statement preparation or review, reconciliations, audit, or tax. We welcome applicants looking to bring this foundation to a wealth management firm. Bachelor’s degree in Finance, Accounting, Business, Economics, or a related field preferred. Strong communication and interpersonal skills, with the ability to interact professionally with clients and outside professionals. Exceptional organizational skills with excellent attention to detail and strong follow-through. Ability to manage multiple priorities, deadlines, and client requests at the same time. Comfortable working with financial data, spreadsheets, reports, forms, and client account information. Proficient with Microsoft Office, especially Outlook, Word, and Excel. Experience with CRM systems, custodial platforms, portfolio reporting systems, Salesforce, Schwab, Fidelity, QuickBooks, Bill.com, or similar technology is a plus. Professional, polished, proactive, and client-service oriented. Able to work both independently and as part of a team. Strong judgment and ability to maintain confidentiality when handling sensitive client information. Curiosity and willingness to learn new systems, processes, and areas of the financial industry.

Salary Range: $75,000-$85,000 based on experience ·

Other Insurance: -Long-Term Disability: You are covered for 60% of your compensation. -Wakefield pays 100% Premiums -Short-Term Disability: You are covered for 60% of your compensation. -Wakefield pays 100% Premiums -Group Life Insurance: Policy is for $50,000 of life insurance -Wakefield Pays 100% of the Premiums Health Savings Account: -Eligible if you are enrolled in the Wakefield provided health insurance plan. -A Health Savings Account is opened for you and Wakefield contributes: *$4,400 annually for individual coverage *$8,750 annually for family coverage -Contributions made by Wakefield are paid monthly.
