POSITION OVERVIEW:
The Production Coordinator keeps production moving. The role owns the day-to-day detail behind the calendar: purchase orders, ERP entry, sample movement, follow-up with vendors, and the records that let everyone else work from accurate information. This role is the difference between a calendar that exists on paper and one the company can trust. Accuracy and follow-through matter more here than seniority. This is a hands-on, on-site role with real growth potential into production management.
KEY RESPONSIBILITIES:
Purchase Orders & ERP EntryWrite and enter fabric, trim, and production purchase orders accurately and on time Enter and maintain style setup, cost sheets, fabric content, and country of origin in SyncApply and manage UPCs for all styles moving into production Audit style master information before collection launch and correct errors before they move downstream Inactivate styles that do not move forward to sales or production Maintain accurate size, color, and SKU data so allocation and shipping are not working from bad information Calendar & WIP Support Maintain the style-level WIP and update it in the ERP no less than weekly Track every style against its calendar milestones and flag anything slipping Chase vendors for confirmations, updated dates, and missing information Prepare the weekly production report for the Director of Production and the sales team Maintain the pre-production calendar and keep deadlines visible to design, development, and production Sample Tracking & Movement Track proto, fit, salesman, TOP, and photoshoot samples from request through receipt Log, label, and organize samples so any style can be located on demand Pick up and deliver samples across factories, wash houses, printers, and the office Coordinate sample sets for market, trade shows, photoshoots, and PR, and confirm each set is complete before it leaves Follow up on outstanding samples so approvals are not the reason a date is missed Materials & Vendor Follow-UpTrack fabric, trim, and treatment orders in transit and confirm arrival against need dates Chase lab dips, strike-offs, and trim submits through approval Flag shortages and substitutions early, before they stop a cut Maintain vendor contact records, terms, and compliance documentation Receiving & Warehouse Coordination Coordinate inbound receiving between the factories, Sync, and the warehouse team Confirm received quantities by style, color, and size against the purchase order, and raise discrepancies Support invoice review by verifying that what was received matches what is billed Conduct on-site visits to factories and the warehouse to check quality and progress Quality & Records Assist with quality control, including review of samples and bulk before release Support fit sessions by preparing samples, taking notes, and distributing comments Maintain detailed, organized records of production workflows, adjustments, and outcomes Review vendor compliance requirements per customer and check for changes quarterlyQUALIFICATIONSRequired 2+ years in apparel production, production coordination, or a closely related support role Working knowledge of an apparel ERP or PLM system Strong Excel skills Exceptional organization, accuracy, and follow-through Comfortable chasing people for answers and persistent about getting them Valid driver's license and reliable transportation for sample runs and factory visits Basic understanding of garment construction, fabric, and wash PreferredExperience in luxury, contemporary, or elevated streetwear Experience with washed or garment-dyed product Working Spanish
