Position Summary:
The Pharmacy Delivery Specialist is responsible for the safe, accurate, and timely transportation of prescription medications, pharmacy supplies, and related materials between Hudson Headwaters Health Network pharmacies, health centers, patient residences, and partner locations, including PACE programs. This position serves as a visible representative of Hudson Headwaters and is expected to provide exceptional customer service while demonstrating professionalism, courtesy, and respect in all interactions with patients, caregivers, health center staff, and community partners.
Essential Duties and Responsibilities:
The Pharmacy Delivery Specialist maintains compliance with all federal, state, organizational, and pharmacy-related requirements governing the transportation of medications and protected health information. The employee is responsible for operating company vehicles safely, maintaining a clean driving record, and adhering to all HHHN vehicle use policies and procedures.
Delivery Operations:
- Deliver prescription medications, medical supplies, and related materials to patient homes, health centers, network-owned pharmacies, PACE locations, and other designated areas
- Ensure all deliveries are completed accurately, securely, and within established service timelines
- Verify delivery manifests and maintain appropriate chain-of-custody documentation
- Obtain signatures or delivery confirmations as required
- Maintain confidentiality of patient information in accordance with HIPAA and HHHN policies
- Follow established procedures for handling temperature-sensitive, confidential, or restricted medications
- Report delivery issues, delays, medication discrepancies, or safety concerns immediately
- Transportation and Vehicle Responsibilities:
- Always operate company-owned vehicles safely and professionally; road and safety regulations are always followed; reports any traffic violations to direct supervisor immediately
Report any maintenance issues for the vehicle and report them to Facilities Leadership.
Coordinates with Facilities Leadership about annual state inspection and any other inspections needed to comply with state inspections and warranty regulations
Ensures that communication devices, i.e. cellular phone is in proper working order prior to each trip; must follow all company policies and state and federal regulations related to cell phone usage while driving
Maintain cleanliness and organization of assigned vehicles.
Adhere to HHHN vehicle policies, New York State traffic laws, and applicable transportation
medications and supplies are secured appropriately during transport
Utilize approved route planning and delivery-tracking tools as required
Hours could fluctuate depending upon business needs that may include evenings and weekends
Job Qualifications:
- Requires high school graduation or equivalent.
- Requires a minimum of three years of related experience driving a similar vehicle
- Previous delivery, courier, transportation, healthcare, pharmacy, or customer service experience preferred
- Must have valid driver's license and proof of insurability with clean driving record,
- Strong attention to detail and accuracy
- Excellent customer service and interpersonal skills
- Ability to work independently and manage time effectively
- Ability to follow written and verbal instructions.
- Basic technology skills, including mobile devices and delivery-tracking applications.
- Ability to maintain confidentiality and protect patient information.
- Reliable, dependable, and safety-focused Licensure and Driving Requirements:
- Valid New York State Driver's License required.
- Must meet all HHHN driver eligibility requirements.
- Clean driving abstract and acceptable motor vehicle record required upon hire and throughout employment.
- Must remain insurable under HHHN's vehicle insurance program.
- Must successfully complete required driver safety training.
- CDL not required unless dictated by vehicle type or regulatory requirements
Physical Responsibilities:
- Work requires sitting while driving, as well as standing and walking for extended periods of time before and after trips
- Frequently enter and exit a vehicle throughout the workday
- Working conditions may vary and are subject to the location of work and time of year; exposure to unpleasant weather conditions during driving
- Ability to lift, carry, push, and pull up to 30 pounds regularly and up to 50 pounds occasionally
- Ability to travel safely and extensively throughout the HHHN service area in varying weather conditions
