Executive & Personal Assistant to a Partner Investment Family Office
Location: NYC - HybridAbout the RoleWe're looking for a polished, proactive Executive & Personal Assistant to support a Partner with both professional and personal matters. Alongside day-to-day executive support, the role includes a significant amount of event planning, from high-profile investor and client events to private personal gatherings. It's a good fit for someone who can manage many priorities at once, anticipates needs, and delivers the high standard of service expected at the senior level.
Key Responsibilities:
  • Executive SupportManage the Partner's complex, frequently changing calendar and set priorities across competing requests
  • Coordinate internal and external meetings, including investor, portfolio company, board, and client meetings
  • Arrange detailed domestic and international travel, including private aviation, ground transportation, and contingency plans
  • Serve as the Partner's main point of contact, handling communications professionally and discreetly
  • Prepare meeting materials, briefing documents, and correspondence
  • Process expense reports on time and accurately
  • Build strong relationships with internal teams, executive assistants, and outside contacts
  • Event Planning
  • Plan and run a range of events from start to finish, including investor and LP events, client dinners, firm gatherings, conferences, and offsites
  • Handle venue sourcing, vendor negotiation, contracts, budgets, run of show, and on-site coordination
  • Manage guest lists, invitations, RSVPs, seating, and attendee communications
  • Work with marketing and outside vendors on invitations, agendas, and branded materials
  • Plan the details carefully and anticipate what senior guests will expect
  • Track event budgets and reconcile invoices after each event
  • Personal SupportManage the Partner's personal calendar, appointments, and family schedules as needed
  • Coordinate personal travel, vacations, and reservations
  • Plan private events and gatherings, such as dinners, celebrations, and holiday events
  • Help manage the household as needed, including working with vendors, staff, and service providers
  • Handle personal errands, gifting, and special requests with complete discretion
  • Qualifications[5+] years of experience as an Executive Assistant or EPA supporting a C-suite leader, Partner, or senior executive, ideally in private equity, hedge funds, investment banking, or another financial or professional services setting
  • Proven experience planning and running high-profile events for senior or VIP guests
  • Excellent organizational and time management skills, with the ability to switch smoothly between professional and personal priorities
  • Complete discretion with confidential business and personal information
  • Polished written and verbal communication skills
  • Proactive and resourceful; anticipates needs and solves problems before they come upCalm, flexible, and responsive in a fast-paced environment, including occasional availability outside regular business hours
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Cvent or similar event platforms is a plus
  • Bachelor's degree preferred

Compensation: 150k-175k base, plus bonus
