Job Description: Job Description POSITION SUMMARYAAI is seeking a hands-on Heavy Equipment Mechanic / Fleet Coordinator to help keep company vehicles, trailers, heavy equipment, and fleet assets safe, reliable, organized, and ready for work. This position is responsible for performing mechanical repairs, coordinating preventative maintenance, managing repair priorities, and supporting accurate fleet records through Fleetio and related systems. The ideal candidate is mechanically skilled, organized, proactive, and comfortable balancing hands-on repair work with coordination responsibilities. This role supports field operations by reducing downtime, improving maintenance planning, strengthening inspection programs, and helping build a more structured fleet and maintenance function as the company grows. CORE ACCOUNTABILITIESPerform hands-on diagnostics, maintenance, and repairs on heavy equipment, trucks, trailers, and related fleet assets. Plan, schedule, and document preventative maintenance to improve safety, reliability, and equipment availability. Coordinate equipment, vehicle, and trailer repairs with internal teams, outside vendors, dealerships, and mobile mechanics. Maintain accurate Fleetio records, work orders, inspection documentation, service history, and maintenance cost information. Support operator inspection programs and ensure deficiencies are addressed based on safety, urgency, and operational impact. Order parts, coordinate vendors, and identify cost-effective repair options without compromising safety or quality. Help establish shop organization standards, maintenance procedures, and scalable fleet processes as the department grows.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Equipment Maintenance and Repair Diagnose, maintain, and repair heavy equipment, trucks, trailers, small equipment, and related fleet assets. Perform preventative maintenance, inspections, troubleshooting, component replacement, and basic fabrication or field repairs when appropriate. Evaluate repair needs, determine urgency, and communicate downtime risks to operations leadership and equipment users. Complete service work safely and document repairs, parts used, and recommendations for future maintenance. Coordinate internal and external repair resources to return equipment to safe, reliable service as efficiently as possible. Support emergency repairs and field breakdown response when operational needs require it. Identify recurring equipment problems and recommend solutions that reduce downtime and improve reliability. Fleet Coordination and Preventative Maintenance Plan, schedule, and track preventative maintenance for vehicles, trailers, heavy equipment, and other fleet assets. Use Fleetio to maintain asset records, service history, work orders, inspection records, meter readings, and maintenance costs. Monitor upcoming service needs and coordinate maintenance around field schedules to reduce disruption to operations. Track open repairs, prioritize work, and follow up on outstanding service items until completion. Review repair documentation, vendor quotes, service invoices, and parts usage for completeness and accuracy. Verify repair scope, service documentation, and invoice accuracy before approval. Vendor and Parts Coordination Establish and maintain relationships with parts suppliers, equipment dealerships, truck and trailer service centers, and emergency repair providers. Develop a dependable network of heavy equipment mobile mechanics to supplement internal capacity during workload peaks or field emergencies. Identify regional suppliers for hydraulic hoses and other common field-failure parts that can be safely replaced by trained operators. Order parts, monitor availability, and help maintain appropriate commonly used parts and supplies. Identify cost-effective repair options without compromising safety, quality, or equipment reliability. Operator Inspection Programs Establish inspection requirements and frequencies for vehicles, trailers, and heavy equipment. Train operators on inspection expectations, documentation, and escalation of safety or maintenance concerns. Monitor inspection completion and compliance. Review inspection findings and ensure deficiencies are prioritized and corrected. Use inspection results to identify potential failures before they create downtime. Leadership and Continuous Improvement Take ownership of the fleet maintenance function and proactively communicate priorities, risks, and resource needs. Recommend improvements that increase equipment availability, control costs, and strengthen maintenance processes. Help establish shop organization standards, maintenance procedures, and equipment care expectations. Support the future hiring, onboarding, training, and day-to-day direction of maintenance personnel as the department grows. Develop toward a future Fleet Manager, Maintenance Manager, or Shop Supervisor role.
EDUCATION AND EXPERIENCE: Five or more years of experience maintaining heavy equipment, commercial vehicles, trailers, or comparable fleet assets preferred. Experience with construction, demolition, environmental services, industrial operations, or transportation fleets strongly preferred. Completion of a diesel, heavy equipment, automotive, or related technical program is preferred; equivalent practical experience will be considered. Previous experience coordinating preventative maintenance, outside vendors, or fleet records is preferred. ASE or State certification REQUIRED KNOWLEDGE, SKILLS AND ABILITIESStrong mechanical, hydraulic, electrical, diesel, and general diagnostic skills. Ability to prioritize work based on safety, operational impact, field needs, and available resources. Ability to work independently, recognize what needs to be done, and follow tasks through to completion. Working knowledge of preventative maintenance practices and maintenance documentation. Comfort using Fleetio or the ability to learn fleet management software and digital work-order systems. Strong organization, communication, recordkeeping, and vendor coordination skills. Ability to communicate repair status, downtime risks, and recommendations to operations leadership and equipment users. Valid driver's license with an acceptable driving record. ASE, OEM, CDL Class A or B, welding, fabrication, or related credentials are preferred
