The Parts Room Supervisor oversees daily storeroom operations and works alongside the team to ensure maintenance, repair, and operations (MRO) parts and supplies are available, accurately recorded, and ready when needed. This role supports equipment reliability and production uptime through effective inventory control, timely replenishment, and disciplined receiving, storage, and issuance practices. Reporting to the Maintenance Director, this position directly supervises assigned Parts Room Clerks / Storeroom Technicians and partners with the Maintenance Planner, maintenance leaders, Production, Sanitation, Purchasing, and Finance. The supervisor is accountable for team performance, parts readiness, cost controls, and continuous improvement of storeroom operations.
Responsibilities:
Supervise receiving, inspection, storage, issuance, returns, and incoming and outgoing shipments for stock and non-stock parts and supplies; ensure accuracy, timeliness, and complete documentation. Develop inventory plans and recommend criticality classifications and minimum and maximum stocking levels based on equipment needs, usage, lead times, asset strategy, and total cost of ownership. Maintain accurate item master data, part descriptions, bin locations, and inventory transactions in the computerized maintenance management system (CMMS) and related business systems. Coordinate with the Maintenance Planner and operating departments to reserve, kit, label, and stage materials for work orders, preventive maintenance, shutdowns, and emergency repairs; promptly escalate shortages. Lead and audit weekly cycle counts, investigate discrepancies, implement corrective actions, and coordinate month-end inventory reconciliation and accounting preparation with Finance. Review critical spares, excess, slow-moving, obsolete, and above-maximum inventory; coordinate approved repair-and-return, surplus, and disposition activities. Initiate replenishment requests and material releases within delegated authority, track deliveries, and resolve shortages, receipt issues, and invoice discrepancies with Purchasing, Finance, and suppliers. Improve vendor-managed inventory and new-stock setup processes while following purchasing policies, approval limits, and internal financial controls. Maintain a secure, clean, organized storeroom with clear shelf and bin identification, controlled access, and accurate tracking of parts, tools, and company assets. Directly supervise assigned employees, schedule work, assign priorities, and coordinate coverage during regular operations, extended hours, breakdowns, and shutdowns. Provide coaching, feedback, recognition, performance reviews, and development planning; partner with Human Resources on employee concerns and corrective action. Lead onboarding and cross-training, verify proficiency, and train employees and storeroom users on receiving, issuance, returns, material staging, and timely inventory documentation. Develop and improve standard operating procedures. Use daily, monthly, and ad hoc reports to improve inventory accuracy, parts readiness, transaction timeliness, and team performance while reducing avoidable stockouts, excess inventory, and costs.
Additional Responsibilities:
Model and reinforce safety, food safety, quality, environmental, GMP, and housekeeping expectations; promptly report, address, or escalate hazards and follow through on corrective actions. Maintain applicable safety data sheets (SDS), labeling, and safe storage and handling practices for chemicals or hazardous materials managed by the storeroom. Support audits, inspections, safety programs, and improvement projects; verify completion of required training and reinforce respectful teamwork, attendance, and work readiness. Coordinate onsite pickup and delivery of parts; operate or assign material-handling equipment only when employees are trained and authorized. Provide hands-on support and arrange team coverage during extended hours, breakdowns, shutdowns, and other critical operating periods. Perform other related duties as assigned to support maintenance and business needs.
Required Qualifications:
High school diploma or equivalent and at least five years of manufacturing experience. Experience in a maintenance parts or materials storeroom, including receiving, inventory control, storage, and parts issuance. Strong working knowledge of computerized maintenance management systems and proficiency with Microsoft Office and Windows. Ability to coordinate work, coach employees, prioritize competing needs, and maintain accurate records. Effective written and verbal communication, organizational skills, attention to detail, and sound analytical judgment. Current forklift certification or ability to complete company-required training and evaluation before operating equipment. Valid driver’s license for assigned parts pickup and delivery duties.
Preferred Qualifications:
Experience leading or supervising storeroom, inventory, or materials employees, including scheduling, coaching, and performance management. Experience with Redzone, JD Edwards (JDE), or comparable maintenance and inventory systems. Experience with cycle counts, reconciliation, critical spare parts analysis, minimum and maximum inventory levels, and vendor-managed inventory. Food or beverage manufacturing experience, familiarity with GMPs, and experience improving storeroom procedures and purchasing controls. Physical Demands:
This onsite role works in a parts storeroom and a high-volume industrial bakery, with time spent at a computer and throughout production and maintenance areas. Conditions may include loud noise, heat, moving equipment, and forklift traffic. Required personal protective equipment and applicable food safety and hygiene practices must be followed. Work involves extended standing and walking, as well as lifting, carrying, climbing, bending, stooping, reaching, pushing, and pulling during shifts that may last up to ten hours. Appropriate lifting equipment or team assistance must be used when needed. The position requires flexibility for weekends, holidays, overtime, and schedule adjustments to support shutdowns, breakdowns, and critical operations.
