We're looking for a Program Coordinator to help keep our Managed Services onboarding programs and client engagements running on time and on track across all global regions. You'll work hand-in-hand with the Solutions Architect, taking ownership of the scheduling, tracking, documentation, and follow-through that successful onboarding depends on. By keeping the operational details moving, you'll free the Solutions Architect to focus on solution design, complex client issues, and executing the onboarding program itself. This is an ideal role for a highly organized person who enjoys bringing order to complex, multi-party work and wants to grow within the legal technology and eDiscovery space.
Key Responsibilities:
Onboarding program tracking: Maintain project plans, timelines, and milestone trackers for each new Managed Services onboarding, and proactively flag risks, delays, and dependencies to the Solutions Architect. Agreement and commitment tracking: Keep a clear view of each managed services agreement's key terms, deliverables, service commitments, and renewal or review dates, so nothing falls through the cracks. Meeting coordination: Schedule and organize kickoffs, status meetings, and business reviews across global time zones. Prepare agendas, capture notes and action items, and drive follow-up to closure of various deliverables and milestones. Cross-functional coordination: Serve as a central point of contact between the Solutions Architect, service delivery (CX) teams, Account Management, and Sales to make sure handoffs are clean and every team knows what's expected and when. Status reporting: Produce regular progress updates for the Solutions Architect, the VP of Solutions Engineering, and client stakeholders as needed. Documentation and program support: Maintain onboarding documentation, templates, and checklists, and help refine the managed services onboarding methodology as the program scales by capturing lessons learned from each engagement. Sales and proposal support: Assist the Solutions Architect during the pre-sales cycle by gathering materials, tracking proposal deadlines, and organizing scoping inputs.
Requirements:
2–4 years of experience in project coordination, program coordination, or operations support, ideally in a client-facing professional services or technology environment Exceptional organizational skills and the ability to manage many concurrent workstreams without losing track of details Strong written and verbal communication skills, with comfort engaging stakeholders at all levels, both internal and external Proficiency with project management and collaboration tools (e.g., Smartsheet, Asana, Jira, Monday.com, or similar) and the Microsoft 365 suite Ability to coordinate across European and APAC time zones, with occasional travel as needed Based in the USAPreferred Exposure to eDiscovery, litigation support, information governance, or related legal technology Familiarity with managed services agreements, SLAs, or client onboarding programs Project management training or certification (e.g., CAPM, PRINCE2 Foundation, or similar)
