Legal Administrative Assistant – LitigationA well-established law firm is seeking an experienced Legal Administrative Assistant to support attorneys and legal staff in a busy litigation practice. This position is ideal for a highly organized, detail-oriented professional with strong administrative and document-processing skills and the ability to manage multiple priorities in a fast-paced legal environment. The successful candidate will have 3–5 years of legal administrative experience in a litigation environment, excellent communication skills, strong attention to detail, and the ability to work effectively with attorneys, paralegals, clients, and other staff members.
Essential Duties & Responsibilities: Word process and format briefs, pleadings, correspondence, memoranda, and other litigation-related documents. Assist with filing and e-filing of court documents and maintain familiarity with local court rules and procedures. Maintain attorney calendars, including court deadlines, docketing, meetings, appointments, and business travel. Proactively monitor calendars and follow up on requests, deadlines, and commitments to ensure attorneys are prepared in advance. Organize and prioritize assignments and projects across multiple attorneys and staff while ensuring deadlines are met. Transcribe recorded or handwritten documents and correspondence as needed. Proofread and redline documents, correspondence, and memoranda for accuracy, grammar, punctuation, formatting, and syntax. Handle incoming and outgoing mail, telephone calls, and general correspondence. Coordinate domestic and international travel arrangements, including airfare, hotels, rental cars, and related logistics. Enter and maintain attorney time records in the firm's time-entry system. Coordinate conferences, meetings, and appointments for attorneys and clients, including conference room reservations, meals, and preparation of meeting materials. Prepare conflict search requests, new matter requests, and related documentation and circulate to appropriate personnel. Prepare and handle personal correspondence and business matters for attorneys with discretion and confidentiality. Review attorney client invoices for accuracy prior to attorney approval. Process new client and matter reports, expense reports, check requests, overnight delivery forms, and other administrative documentation. Prepare notebooks, exhibits, presentations, and other materials as requested. Assist with administrative projects and other duties as assigned. Maintain strict confidentiality of all client and firm information and exercise discretion in all communications and interactions.
Required Skills & Qualifications: 3–5 years of prior legal administrative experience, preferably supporting attorneys in a litigation practice. Excellent Microsoft Word skills and strong proficiency with standard office technology. Familiarity with litigation documents, court filings, e-filing procedures, and local court requirements. Exceptional organizational skills and attention to detail. Ability to manage multiple assignments, competing priorities, and deadlines effectively. Excellent written and verbal communication skills. Professional and confident telephone manner, with the ability to communicate effectively with clients, attorneys, courts, and other professionals. Strong interpersonal skills and the ability to establish effective working relationships throughout the organization. Team-oriented approach with the ability to work effectively with a wide range of personalities and work styles. Ability to listen carefully, communicate clearly, and anticipate the needs of attorneys and team members. Strong judgment, discretion, and professionalism. Ability to work well under pressure while maintaining accuracy and composure. Positive, professional attitude and a willingness to support attorneys and colleagues. Thorough understanding of administrative procedures and the ability to learn and utilize firm-specific systems efficiently. Highly organized, proactive, dependable, and detail-oriented. Associate's or bachelor's degree preferred, but not required.
