Responsibilities:
The Transaction Coordinator plays a key role in supporting the Capital Markets team through efficient coordination, organization, and execution of administrative and operational functions. The Transaction Coordinator will be responsible for managing, tracking, and reporting all revenue-related activities tied to commercial real estate transactions. The ideal candidate combines transaction coordination skills with strong analytical capabilities, maintaining a high level of precision and organization in a fast-paced environment. This position is ideal for a highly organized, detail-oriented, dependable, and proactive professional who thrives in a fast-paced environment, managing multiple priorities and confidential materials with precision. The Transaction Coordinator will work with adjacent business lines including Investment Sales, Data Center Capital Markets, and Strategic Advisory & Liquidity Services.
Key Responsibilities:
Administrative Manage the Team’s meeting schedule and prepare materials for Team’s pitches, investor meetings, calls, etc. Participate in and document weekly Team meetings; prepare Team follow-ups and related tasks Coordinate meeting/call schedules for multiple parties — internal and outward-facing with clients and investors; facilitate in-office meetings as needed Assist with coordination of client dinners and events (attendee list management, RSVP tracking, arranging reservations/venues, hiring vendors, etc.)Deal Marketing Assist Analysts/Brokers in management of content for Pitches, BOVs, CIMs, and other related deliverables (Power Point required, InDesign a plus); coordinate with the Graphics Team as needed Assist in the creation and distribution of Teasers for active listings, via email or deal marketing software (i.e., Revere)Deal Execution & Diligence Coordinate with the Legal department in the preparation/execution of engagement agreements, NDAs, etc. Manage, track, and report investor NDA execution on active deals; assist with managing data room/data site administration (i.e., Box, Revere, etc.); schedule property tours as needed Manage deal closing processes — gather information needed for invoicing, PR, closing announcements, case studies, etc. — working with the respective parties throughout Pipeline & Data / Team Materials Manage Team Pipelines to ensure information is current; monitor transaction progress and ensure critical dates are being met Produce weekly Marketing status reports for active deals Organize and update client/investor lists and databases Maintain track-record library, awards and league-table submissions, and keep credentials/pitch asset library current Announcements & Brand Create closing announcements; manage e-blast distributions and Linked In postings Develop and maintain the Team’s social media strategy; work with Graphics & PR teams to create regular content and promote noteworthy deals Confidentiality This role requires regular exposure to highly confidential deal, financial, and client information — including active listings, investor bids, NDAs, and pending transactions. The Transaction Coordinator is expected to exercise sound judgment and discretion in handling all sensitive and proprietary materials at all times.
Qualifications
Experience & Qualifications:
Bachelor’s degree required; 3–5 years of transaction management experience in commercial real estate, investment banking, or a related financial services environment Experience coordinating high-level client meetings (investor meetings / roadshows a plus)Experience managing high-volume workflows and complex administrative tasks with minimal direction, under tight deadlines Excellent organizational skills and attention to detail; ability to manage multiple projects simultaneously Professional written and verbal communication skills; ability to manage communications among multiple stakeholders Discretion in handling sensitive and confidential information Proficiency in Microsoft Office Suite and CRM/database systems Familiarity with commercial real estate finance transactions and capital markets processes strongly preferred
Salary Range:
The expected base salary for this position ranges from $85,000 to $100,000 annually. The actual base salary will be determined on an individualized basis, taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package (including health, vision, and dental insurance, paid time off, and a 401(k) retirement plan with employer matching), this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
