This is a long term temporary position through June 2027, with the possibility to be further extended. This position is part time, Monday through Friday, from 8:30 a.m. to 3:00 p.m., with a 30-minute unpaid meal break. A four-day work week can also be considered total of 24 hours per week. Supports the accurate and efficient processing of incoming mail and documents. This position is responsible for receiving, sorting, preparing, scanning, filing, and distributing documents to ensure information is properly organized and routed for timely processing. The position requires strong attention to detail, organization, and the ability to manage a high volume of documents while maintaining accuracy, confidentiality, and established processing standards. The Document Operations Specialist works both independently and as part of a team to support daily document operations and workflow needs. Receive, sort, categorize, and distribute incoming mail and documents accurately and timely. Review documents to determine the appropriate routing, filing, or processing requirements. Prepare physical documents for scanning, including organizing and verifying documents for completeness and readability. Operate scanning equipment and use document management systems to digitize, index, and organize documents. Perform quality control reviews of scanned documents to verify they are complete, legible, properly indexed, and associated with the correct record. Identify and correct scanning or indexing errors before documents are finalized. File and maintain documents according to established procedures and recordkeeping requirements. Identify document discrepancies or processing issues and take appropriate steps to resolve them or communicate them to the appropriate staff. Prioritize assigned work to meet processing deadlines and support timely completion of organizational workflows. Work collaboratively with team members and other staff to maintain an efficient and consistent document processing workflow. Maintain confidentiality and follow established security requirements when handling sensitive or protected information. Perform other document processing and administrative support duties as assigned.
