Position Summary:
The Apparel Production Coordinator is responsible for coordinating overseas factory orders from development handoff through shipment. This role ensures factories and sourcing partners receive complete and accurate information, production timelines are actively managed, and the team has a clear and current view of every order's progress. The Apparel Production Coordinator serves as a key point of communication between ODD SOX and our overseas production partners, maintaining work-in-progress reporting, coordinating samples and product feedback, following up on deadlines, and identifying potential delays before they impact delivery.
Essential Duties and Responsibilities:
Coordinate overseas factory orders from development handoff through shipment. Gather and organize artwork, tech packs, packaging files, order details, approval records, and other required production information. Confirm factory submission packages are complete and contain the latest approved versions before being sent. Send files, instructions, order information, and deadlines to overseas factories and sourcing partners. Confirm receipt and understanding of production requirements and follow up on outstanding information. Coordinate factory sample requests and route incoming samples to the Product team for review. Communicate documented product comments, corrections, and approvals back to factories. Maintain an accurate work-in-progress (WIP) tracker for all active orders. Track sample deadlines, approvals, production milestones, completion dates, ship dates, and expected arrival dates. Follow up proactively and consistently with factories and sourcing partners to keep orders moving according to schedule. Identify missing information, overdue items, production delays, and potential delivery risks early. Escalate delays and production issues to the supervisor and department leadership as needed. Track recovery plans and follow through until outstanding production issues are resolved. Provide regular production status reporting identifying what is on schedule, what is at risk, and what requires action or a decision. Coordinate shipment readiness and required documentation with the Logistics team. Maintain accurate and organized production records, files, and communications.
Qualifications:
Highly organized with strong attention to detail and follow-through. Ability to manage multiple orders, deadlines, and priorities simultaneously. Strong Excel or spreadsheet skills and experience maintaining detailed trackers. Strong written and verbal communication skills. Comfortable communicating professionally and consistently with overseas factories, vendors, and sourcing partners. Proactive and persistent when following up on outstanding information and deadlines. Ability to recognize potential production or delivery risks and escalate them early. Strong problem-solving skills and ability to work through changing timelines and priorities. Comfortable working in a fast-paced, deadline-driven environment. Experience with ERP, production management, or order tracking systems is a plus.
Education and Experience:
Bachelor's degree in Supply Chain, Business, Production Management, Fashion Merchandising, Operations, or a related field preferred. Equivalent relevant professional experience will be considered in lieu of a degree. Previous experience in production coordination, sourcing, procurement, supply chain, product development, or a related role preferred. Experience working with overseas factories or sourcing partners is strongly preferred. Experience in apparel, socks, underwear, accessories, footwear, or consumer products is preferred.
