Job Responsibilities: Review newly assigned foreclosure matters throughout the day and initiate the intake and file-opening process without delay. Reach out to new clients with professional introductory and welcome communications. Complete all required steps for opening foreclosure files, including entering case information, documents, deadlines, status updates, and other required data into the firm's systems. Draft and submit Notices of Appearance, Motions, and other applicable pleadings as directed. Review new matters for urgent or specialized handling, including defaults, emergency issues, approaching deadlines, and matters requiring immediate attorney involvement. Ensure newly opened matters are properly organized and prioritized based on the status and needs of each case.
Client Communication and Case Oversight: Act as a primary point of contact for clients assigned to the foreclosure caseload. Provide timely updates to clients regarding hearings, court rulings, case developments, and required next steps. Regularly review calendars for upcoming hearings, trials, summary judgment proceedings, and foreclosure sales and confirm that the appropriate client communications and follow-up have been completed. Arrange attorney-client conferences when legal advice, case strategy, or additional direction is required. Maintain complete and accurate case notes, deadlines, tasks, statuses, and communications within the firm's case-management platform. Monitor assigned matters for issues requiring attorney attention and actively follow through until outstanding concerns have been addressed.
Mediations and Conciliation Conferences: Work with attorneys and clients to prepare for scheduled mediations and conciliation conferences. Monitor upcoming conferences and verify that all required documents, communications, and preparation activities are completed in advance. Track mediator invoices and coordinate timely processing of required mediation fees and payments. Ensure post-mediation tasks and case updates are completed as appropriate.

  • Monitor critical deadlines and escalate matters when required action remains outstanding.
  • Coordinate attorney-client discussions when case strategy, court requirements, or next steps have not yet been communicated.
  • Maintain appropriate follow-up on cases approaching summary judgment hearings, trials, or foreclosure sales.
Court Filings and E-Filing: Prepare, electronically file, and serve pleadings, motions, notices, and other legal documents through the Florida Courts E-Filing Portal. Submit proposed orders through CourtMap, CMS, OLS, JACS, JAWS, and other county-specific court systems as required. Monitor submitted documents for acceptance, rejection, deficiencies, or requests for correction and address issues promptly. Track proposed orders that remain pending and follow up as necessary to facilitate timely entry. Update case records and statuses following court filings, rulings, and entered orders.
Workload and Workflow Management: Review and complete assigned tasks on a daily basis. Utilize case-management reports, dashboards, calendars, and task queues to identify outstanding work and upcoming deadlines. Take initiative in following up on unresolved matters rather than relying solely on attorneys or supervisors to identify pending actions. Keep case files, task lists, reports, deadlines, and case statuses accurate and up to date. Participate in regular meetings with the supervising attorney to discuss caseloads, upcoming events, priority files, deadlines, and unresolved issues. Manage competing priorities effectively while maintaining consistent progress across the assigned caseload.
Technology and Systems: Demonstrated experience with the Florida Courts E-Filing Portal. Familiarity with Florida court and judicial systems, including CourtMap, CMS, OLS, JACS, JAWS, and comparable county-specific platforms. Proficiency with Microsoft Office, Outlook, Adobe Acrobat, and other standard office applications. Experience working with electronic legal case-management systems; familiarity with Litify/Salesforce or Clio is preferred. Ability to manage electronic calendars, e-service notifications, case reports, dashboards, and task-driven workflows. Comfortable adopting new technology and efficiently using multiple systems in a high-volume legal environment.
Qualifications: Prior Florida civil litigation experience is required. Direct experience handling Florida foreclosure matters is required. Excellent organizational abilities with a strong focus on accuracy and detail. Ability to assess priorities and respond appropriately to urgent matters while continuing to manage routine assignments. Strong written and verbal communication skills. Professional and effective communication with clients, attorneys, court staff, opposing counsel, vendors, and other parties. Demonstrated ability to take ownership of assigned matters, independently monitor progress, and see tasks through completion. Bilingual proficiency in Spanish and/or Haitian Creole is a plus.
