Role Description: The Office Administrator is a full-time, on-site role based in New Brunswick, NJ. This position is responsible for managing daily office operations, including handling incoming calls, emails, and mail, maintaining records and files, and organizing office supplies and equipment. The role includes scheduling meetings, coordinating calendars, preparing basic reports, and supporting staff with administrative tasks such as document preparation and data entry. The Office Administrator will also greet visitors, provide general information, and support member and customer inquiries in a professional manner. This role works closely with other team members to ensure a well-organized, efficient, and welcoming office environment.
Qualifications: Strong Administrative Assistance and Office Administration skills, with experience managing day-to-day office operations. Ability to use and maintain standard Office Equipment, including computers, printers, copiers, and phone systems. Effective Communication skills, both written and verbal, with the ability to interact professionally with staff, members, and visitors. Proven Customer Service skills, with a focus on responsiveness, courtesy, and problem-solving. Proficiency with common office software (e.g., Microsoft Office or similar tools) and basic data entry. Strong organizational skills, attention to detail, and ability to manage multiple tasks and priorities. Ability to work on-site in New Brunswick, NJ, and collaborate with a diverse team in a civic-focused environment. High school diploma or equivalent required; additional education or training in administration or business is beneficial. Prior experience in an office, nonprofit, or civic organization setting is a plus.
