RESPONSIBILITIES: Answer incoming calls to the college's Student Services line (252) 862-1200, directing inquiries and routing calls to the appropriate campus offices as needed. Schedule a variety of activities, including appointments, meetings, travel arrangements, facility usage, and accommodations, for both internal customers and external stakeholders. Provide general support to visitors, ensuring a welcoming and professional environment. Offer administrative assistance to the Dean of Student Affairs and the Student Affairs Division, including scheduling, meeting coordination, material preparation, data entry, travel arrangements, expense processing, and other administrative tasks. Identify and resolve scheduling conflicts while providing regular updates to the Dean. Manage Outlook calendar appointments for the Dean and team, ensuring seamless scheduling. Coordinate meeting and event logistics, such as securing venues, arranging refreshments, preparing materials, and confirming participant attendance. Prepare various documents, including correspondence, agendas, minutes, event programs, and reports, in both digital and paper formats. Maintain accurate and up-to-date records, including files, contact lists, and database entries. Assist with event planning as needed. Organize and prepare mailings and packages for delivery. Associate degree from a regionally accredited institution. Must demonstrate interpersonal skills applicable to working with a diverse population. Experience using multi-line phone systems, handling high call volumes, and transferring calls appropriately. Strong verbal and written communication skills. Ability to multi-task and work effectively in a fast-paced environment. Proficiency with basic computer applications, including email, word processing, and database systems. Ability to maintain professionalism, confidentiality, and a positive demeanor when interacting with students, staff, faculty, and the public. Bachelor's Degree from an accredited institution. Ability to work well with the public in high pressure situations. Ability to multitask and to perform detailed tasks accurately. Strong computer skills with a focus on office applications. Two years' Community College experience in Student Services and/or an office setting at an educational institution.
