Office Administrator Nashville, TN | HybridCB Partners is partnering with a nationally recognized professional services organization to identify an experienced Office Administrator to oversee operations across multiple office locations. This individual will play a critical leadership role supporting attorneys, employees, and firm leadership while ensuring the day-to-day operations of each office run effectively and efficiently. This position offers the opportunity to influence office culture, lead administrative teams, manage operational initiatives, and serve as a trusted business partner across HR, Finance, Technology, Recruiting, and Business Development functions. The ideal candidate is a strong people leader who thrives in a professional services environment and enjoys balancing strategy with hands-on operational execution.
Responsibilities: Provide leadership and oversight for administrative operations across multiple office locations. Manage, mentor, and develop office support staff while fostering a high-performing and collaborative team environment. Oversee office budgets, vendor relationships, facilities management, and operational expenditures. Partner with firm leadership to drive efficient office operations and exceptional internal client service. Support recruiting efforts, onboarding activities, and employee engagement initiatives. Work closely with HR on employee relations matters, performance management, and personnel administration. Coordinate with technology teams to ensure offices receive effective technology support and resources. Assist with marketing initiatives, office events, and business development activities as needed. Monitor and improve administrative processes to increase efficiency and service levels. Maintain strong relationships with attorneys, business professionals, and leadership teams across the organization. Lead special projects and office initiatives while ensuring operational consistency across locations. Serve as a key resource for problem-solving, office planning, and organizational support.
Qualifications: Bachelor's degree preferred; equivalent professional experience will be considered.5+ years of leadership experience in office administration, operations, or professional services management. Prior experience within a law firm strongly preferred. Demonstrated success leading staff, managing performance, and developing teams. Experience overseeing budgets, operational planning, and vendor management. Strong understanding of human resources and employee relations practices. Ability to effectively communicate and build credibility with senior leadership and professionals at all levels. Experience managing operations across multiple locations is highly desirable. Strong organizational, problem-solving, and decision-making skills. Proficiency with Microsoft Office and business management systems. Ability to manage competing priorities within a fast-paced, client-service-focused environment.
