Position Overview:
PayFWDs is seeking a detail-oriented Tax Analyst to join our Tax Services team. This position is responsible for the accurate and timely processing of payroll tax deposits, filings, reconciliations, and related compliance activities across federal, state, and local jurisdictions. The Tax Analyst will research and resolve tax discrepancies and agency notices, maintain accurate client tax information, monitor regulatory changes, and work closely with clients and internal teams to ensure payroll tax obligations are completed accurately and on time.
Essential Duties & Responsibilities:
Perform daily payroll tax functions, including balancing tax liabilities, processing payments, and supporting return preparation and filing. Complete quarterly and annual federal, state, and local tax filings, payments, W-2 processing, and SSA filings. Reconcile payroll tax liabilities, deposits, returns, and payroll system data to identify and resolve discrepancies. Research and resolve federal, state, and local tax notices in a timely manner to minimize penalties, interest, and client impact. Prepare amended payroll tax returns and Forms W-2c as needed. Maintain accurate client tax information, including account numbers, filing frequencies, unemployment rates, deposit schedules, payment methods, and jurisdiction-specific requirements. Monitor outstanding client tax registrations and obtain necessary account numbers, rates, filing frequencies, and agency information. Maintain federal, state, and local agency accounts, including EFTPS registrations, electronic filing accounts, Powers of Attorney, third-party access, and other required authorizations. Manage tax setup for new clients, including reviewing and loading historical payroll information, validating year-to-date balances, and determining outstanding tax liabilities and deposit requirements. Manage tax responsibilities for terminated clients, including final filings, payments, reconciliations, and account inactivation. Research new and changing payroll tax requirements and coordinate appropriate system setup, including state and local taxes, unemployment assessments, Paid Family and Medical Leave programs, and other employer requirements. Maintain payroll tax software and assist with testing regulatory updates, tax rate changes, new jurisdictions, and other system changes. Monitor and respond to internal support cases involving tax account setup, tax and wage adjustments, agency notices, and related payroll tax matters. Maintain accurate documentation and internal controls in accordance with company policies and applicable government regulations. Identify opportunities to improve tax processes, controls, documentation, and automation. Communicate professionally and effectively with clients, government agencies, software partners, and internal team members.
Education & Experience:
2+ years of payroll tax, payroll processing, accounting, or related experience preferred. Experience with federal, state, and local payroll tax filings, payments, and agency requirements preferred. Experience with payroll tax software, payroll/HRIS platforms, or similar cloud-based applications preferred. CPP, FPC, or other payroll-related certification is a plus. Knowledge of federal and state employment tax regulations; multi-state and local payroll tax experience is highly valued.
