We are seeking an experienced, highly organized, and detail-oriented Senior Administrative Coordinator to join our team. This individual will play an essential role in managing scheduling, coordinating communications, maintaining accurate records, and supporting the day-to-day operations of our firm. This is a fully remote position with regular business hours, well-defined responsibilities, and the opportunity to work closely with a collaborative team. While the role is remote, candidates located in the Washington, DC area are preferred, as occasional in-person assistance with candidate interviews, meetings, and other firm activities would be beneficial. Manage internal calendars, monitor scheduling changes, and proactively address conflicts or logistical challenges. Serve as a professional and responsive point of contact for candidates, law firm representatives, and internal team members. Maintain accurate and up-to-date information in the firm's internal database and systems, including data entry, record updates, and ongoing data management. Collaborate closely with recruiters and other team members to ensure seamless coordination and timely follow-through on administrative tasks. Track outstanding scheduling requests, confirmations, and follow-ups to ensure nothing falls through the cracks. Anticipate scheduling needs, identify potential issues, and independently resolve administrative challenges. Provide occasional in-person support for candidate interviews, meetings, and firm activities when feasible. Support additional administrative and operational initiatives as needed.
Qualifications
Required: Minimum of five years of administrative experience in a law firm, professional services firm, executive support role, or similarly demanding professional environment. Demonstrated experience managing complex calendars, coordinating meetings, and handling high-volume scheduling. Exceptional written and verbal communication skills, with the ability to communicate professionally and confidently with senior-level professionals. Strong attention to detail, organizational skills, and the ability to manage multiple competing priorities. Ability to work independently, exercise sound judgment, and take initiative in a fully remote environment. High level of discretion and professionalism when handling confidential or sensitive information. Proficiency with Microsoft Office applications. Comfort learning and navigating new technology, databases, and internal systems.
Preferred: Prior experience supporting attorneys, legal recruiters, executives, or other senior-level professionals. Experience coordinating schedules across multiple organizations and time zones. Located in or near the Washington, DC metropolitan area, with the ability to provide occasional in-person support for candidate interviews and firm activities.
Compensation & Benefits
Base Salary: $90,000 annually, with end of year bonus potential 401(k): Eligibility after one year of service
Work Arrangement: Fully remote (Washington, DC Area Preferred)
Schedule: Full-time, regular business hours
What We're Looking For: Our ideal candidate is an experienced administrative professional who takes pride in being organized, responsive, and dependable. They are comfortable managing numerous moving pieces, communicate clearly and professionally, and understand the importance of accuracy and follow-through. This role requires someone who can anticipate needs, solve problems independently, and work collaboratively with a small, close-knit team. We are looking for someone who can take ownership of their responsibilities, adapt to changing priorities, and consistently deliver a high level of service to both our team and the attorneys and law firms we work with.
